When Can Online Data Be Imported into IGBO-TS?

Once your registration system is live and at least 50 bowlers registered, you can request your first bi-weekly IGBO-TS data import. This is an optional service. It must be requested via email at least 4-5 weeks prior to the start of your tournament. For large tournaments, we suggest starting import process 6-8 weeks prior to your start date. This way you can send out confirmation emails in stages and not all at once. All online bowler data collected during registration is imported except for guests and payment data, which is typically handled separately and manually.

Important note: Last-minute requests to import bowler data 10 days prior to your tournament start date will be denied. Simply put this time period is chaotic for both the tournament statistician and us. Plan now to manually enter late registrant data during this late timeframe into IGBO-TS from your TournReg.net admin site. Your tournament has more control on how last-minute data is entered and placed on to teams that need filled to finalize your setup.

Below is basic information to start the process of importing online registration data into IGBO-TS. Let us know if you have any questions.

If you are using a local database with IGBO-TS on your computer/laptop (most local Tournaments do this):

  • Set your tournament up in IGBO-TS including dates, divisions and shifts.
  • Close IGBO-TS. In Explorer, go to the C:\IGBOTS directory.
  • Right-click your latest IGBO-TS database file (MDB) and compress it (ZIP).
  • Email ZIP file to webmaster@tournreg.net.

We will create a hook in your database to allow TournReg.Net imports. Then we will import the latest data and return the database back to you within 2-3 days. This email database process is only required the first time. Subsequent rounds are much more streamlined. Just request an import, and we will send you the next data set via an XML file that you can import yourself with simple instructions.

If you are using an online SQL database with IGBO-TS on your computer/laptop (most Annual, Mid-Year and large regional Tournaments do this):

  • Set your tournament up in IGBO-TS including dates, divisions and shifts.
  • Email me your SQL database name, user ID and password provided by the IGBO-TS support team when you set up your online database.
  • I will create a hook in your database to allow TournReg.Net imports. Then I will import the latest data from my location and notify you of the update.
  • Notify me when you are ready for the next data import.

After the initial import, subsequent imports consist only of new bowlers registered since last import was done. I never overwrite existing IBGO-TS bowler data since you most likely have changed it (for example verified averages).

We work with many tournaments at the same time. Our availability is limited at times. Therefore, we only execute data imports on Sundays and Mondays. So please plan accordingly and send your requests in advance so that we can schedule time for your tournament needs. We recommend you schedule subsequent imports in bi-weekly intervals. Closer to your tournament date, imports can occur weekly. Again, last-minute imports 10 days prior to your tournament start date will be denied.
